Step 01

Strategic Positioning

Define what your brand is and does at a structural level. Be specific — avoid inspirational language and describe what you actually do.

Be concrete. What is going wrong in your audience's life or work that you fix?

Clear, specific activities or services. Not mission statements.

Geography, sector, platform.

Complete the sentence: "We are a [type] that [what] by [how], for [who], to achieve [outcome]."

Step 02

Brand Voice Principles

Define how your brand communicates — not what it says. Aim for 5–7 principles. Each needs a name, a one-line description, and an example.

Example: Calm over urgency — KATE never creates pressure. It absorbs complexity so the household doesn't have to feel it. "Permission slip due Friday. Want me to add a reminder?" not "⚠️ ACTION REQUIRED!"

Step 03

Voice Boundaries

Define exactly what your brand should and should not sound like. Be specific — this prevents drift over time.

Describe the tone, character, feel. Use comparisons if helpful.

Step 04

Narrative Structure

Define how your brand consistently explains itself. Avoid vague or abstract language — write in clear categories.

Translate Voice into Real Language

Write 3–5 transformation examples. Show what generic copy looks like, then rewrite it in your brand voice. This is your most practical reference.

Step 06

Credibility Layer

Optional but recommended. Ground your brand with context that supports your positioning — without vague or unverified claims.

Methodologies, research traditions, named approaches.

Not competitors — references that help people understand your category.

Real experience, track record, founder story, user feedback.

Step 07

Systems Check

Ensure your brand is not described as a collection of disconnected activities. Answer how everything connects into a single coherent system.

Describe the relationship between your different offerings or features.

One clear sentence or paragraph that describes the whole.

Step 08

Final Brand Voice Summary

Write one paragraph that captures everything: how your brand sounds, and what every piece of content must reflect. This becomes the master system prompt for all content generation.

KATE example: "KATE sounds like someone who has already read the letter, checked the calendar, and thought about what's for dinner — but is waiting to be asked. Calm, precise, warm. Never hurries the user, never alarms them, and never acts without permission. Every piece of content should feel like it came from a trusted presence who respects the user's intelligence, their time, and their right to decide."

Write it as a brief for any writer, AI, or collaborator who needs to create content for you. One paragraph, internal reference quality.
